Auto-Query

Overview

Auto-Query raises a query automatically when entered data breaks a field's validation rule, so data managers don't have to open each query by hand. It is set up at two levels:

Set up the study level first, then turn on Auto-Query for each field that needs it.

Enable auto-query at study level

Study-level settings decide who receives auto-queries first and who gets them back after a site responds, for each module.

  1. Go to Admin Tools > Settings.
  2. Scroll down and expand Auto-Query Feature.
  3. Turn on Query Review Mode (hover the ? icon for details).
  4. For each module, set the two assignees:

Enable Auto-Query at form level

Form-level settings turn Auto-Query on for one field at a time. A query is raised when the entered value breaks that field's validation rule, e.g. an Age outside 20–65.

  1. Go to Admin Tools > Forms.
  2. Find the form (filter by Form Type or search by Form Name), then click its pencil icon to edit it.
  3. In the form builder, open the settings of the field you want to check (e.g. the Age number field).
  4. Go to the Validation tab and tick Enable Auto-Query for Field.
  5. Fill in the Auto-Query settings:

  1. Set the validation rule that triggers the query, such as Minimum Value and Maximum Value, and choose when it runs under Validate On (e.g. Change).
  2. Check the field in the Preview panel, then click SAVE.
  3. Save the form.
